How Walnut Hill Revenue Cycle Consultants collects, uses and protects information when you use this website.
Who we are
Walnut Hill Revenue Cycle Consultants (“WHRCC,” “we,” “us”) provides revenue cycle management services to healthcare organizations. Our office is at 9900 N. Central Expy #215, Dallas, TX 75231.
Information we collect
- Information you give us. When you request a consultation, send a message or subscribe to updates, we collect what you enter, such as your name, email address, phone number, practice or organization, and your message.
- Information collected automatically. Like most websites, our hosting provider records technical details such as your IP address, browser type, pages visited and the time of your visit, and keeps them in server logs. Our public website doesn’t use advertising or analytics cookies. Staff who sign in to our admin area receive a session cookie.
- Preferences stored on your device. If you use the accessibility menu, your choices are saved in your own browser so they apply on your next visit. They are not sent to us.
- Newsletter. If you subscribe, we keep your email address (and first name, if you give it), when and where you signed up, and when you confirmed. Our newsletter emails don’t contain tracking pixels, and we don’t track which links you click.
- Chat assistant. Our chat assistant answers questions using information on this website. It runs in your browser, and your chat messages are not sent to us or stored.
Please don’t send patient health information
This website is not designed to receive protected health information (PHI). Please don’t include patient names, dates of birth, medical details or account numbers in our forms, emails or chat. Patient information we handle for our healthcare clients is protected under HIPAA and our agreements with those clients, not under this website policy.

How we share information
We do not sell your personal information. We share it only with service providers who help us run our website and communications and who must keep it confidential, such as our web host and the email delivery service that sends our newsletter, or when the law requires it. We use AI writing tools to help draft articles; we never give them your personal information.
How long we keep it
We keep personal information only as long as we need it for the purposes above or as the law requires. Contact and consultation messages are deleted after 12 months, and newsletter sign-ups that are never confirmed are deleted after 30 days. If you unsubscribe, we keep a record of your address and the date so that we never email you again.
How we protect it
We use reasonable administrative, technical and physical safeguards. No website or email transmission is completely secure, so please avoid sending sensitive information through them.
Your choices
You can unsubscribe from our emails at any time using the link at the bottom of every email or on our unsubscribe page. You can also ask us to access, correct or delete the personal information you’ve given us by contacting us using the details below.
Children’s privacy
This website is intended for healthcare professionals and businesses. It is not directed to children under 13, and we do not knowingly collect their information.
