Who we are

Walnut Hill Revenue Cycle Consultants (“WHRCC,” “we,” “us”) provides revenue cycle management services to healthcare organizations. Our office is at 9900 N. Central Expy #215, Dallas, TX 75231.

Information we collect

• Information you give us. When you request a consultation, send a message or subscribe to updates, we collect what you enter, such as your name, email address, phone number, practice or organization, and your message. When you send a contact or consultation form, we also note how you found our website that day (for example a search engine, another website or one of our newsletters) and which pages you viewed on that visit, and keep this with your message.
• Information collected automatically. Like most websites, our hosting provider records technical details such as your IP address, browser type, pages visited and the time of your visit, and keeps them in server logs. We also count visits with our own privacy-friendly statistics, which use no cookies, no advertising and no third-party trackers. For each page viewed they record the page, the website that linked to it, the type of device, the browser, operating system and language it uses, and an approximate location (city, state and country) and network name (such as your internet provider, or your organization if it has its own network). We work these out from your IP address at the time of the visit, using a location database kept on our own server; the IP address itself isn’t stored. They also record which buttons and links are used on a page (such as our phone number, email address, the chat or a link to another website) and how long the page is read. To count each visitor once a day, we use an anonymous code that changes every day, so visits can’t be linked across days. We keep these statistics for up to 25 months. This website doesn’t set cookies for visitors: the only cookies are for our own staff, one that keeps them signed in to the admin area and one that stops their own visits from being counted.
• Preferences stored on your device. If you use the accessibility menu, your choices are saved in your own browser so they apply on your next visit. They are not sent to us.
• Newsletter. If you subscribe, we keep your email address (and first name, if you give it), when and where you signed up, and when you confirmed. Our newsletters and other emails to subscribers contain a small image and links that tell us whether you opened the email and which links you clicked, with the approximate location (city and state) worked out as for our visit statistics. We record this with your subscription, to understand which topics are useful and to follow up with practices that show interest. Some email apps load images automatically, so opens are approximate, and turning off images in your email app stops open tracking. When you click a link to our website in one of these emails, we connect that click with the pages you view on our website that day, so that if you then send us a message we can tell which email brought you. We remove this connection at the end of the day. Links to our website in these emails also carry a label naming the email, so our visit counts can show how many visits each one brought. If we emailed you a one-time invitation to join the newsletter, we keep your address and whether you accepted or declined, so that we never invite you twice.
• Chat assistant. Our chat assistant answers questions using information on this website. It runs in your browser, and your chat messages are not sent to us or stored.

Please don’t send patient health information

This website is not designed to receive protected health information (PHI). Please don’t include patient names, dates of birth, medical details or account numbers in our forms, emails or chat. Patient information we handle for our healthcare clients is protected under HIPAA and our agreements with those clients, not under this website policy.

How we use information

• To meet our legal obligations

How we share information

We do not sell your personal information. We share it only with service providers who help us run our website and communications and who must keep it confidential, such as our web host and the email delivery service that sends our newsletter, or when the law requires it. We use AI writing tools to help draft articles; we never give them your personal information.

How long we keep it

We keep personal information only as long as we need it for the purposes above or as the law requires. Contact and consultation messages are deleted after 12 months, and newsletter sign-ups that are never confirmed are deleted after 30 days. Records of which of our emails you opened and which links you clicked are kept with your subscription for as long as we keep the history of those emails, and are deleted if we delete your details. If you unsubscribe, we keep a record of your address and the date so that we never email you again.

How we protect it

We use reasonable administrative, technical and physical safeguards. No website or email transmission is completely secure, so please avoid sending sensitive information through them.

Your choices

You can unsubscribe from our emails at any time using the link at the bottom of every email or on our unsubscribe page. You can also ask us to access, correct or delete the personal information you’ve given us by contacting us using the details below.

Children’s privacy

This website is intended for healthcare professionals and businesses. It is not directed to children under 13, and we do not knowingly collect their information.

Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it last changed.
